Printer Audit

IAG provides the printer audit feature that can audit the printing activities of intranet users. In addition, this feature can keep track of information related to the entire printer audit process, including the username, time, printed file information (such as the file name, file type, file size, file counts, and page counts), printer model, printer name, and printing application.

The following figure shows the configuration page of a printer audit policy.

Schedule: Select All Day, Office Hours, or Non-Office Hours as needed. Alternatively, click Add Schedule to add a custom schedule.

Offline Audit: Select Enable or Disable as needed. If Enable is selected, the audit can be performed even if the Ingress Client is disconnected from the IAG device, that is, when the endpoint user is disconnected from the intranet.

Attachment Audit: Select Enable or Disable as needed. If Enable is selected, the involved attachments will be synchronously logged after the audit. If Disable is selected, only the audit activity is logged.

Screen Capture: Select Enable or Disable as needed. If Enable is selected, a snapshot of the entire screen will be captured at the moment when the printing activity starts.

Whitelist: Enter the names of the printers to be excluded from auditing. By default, three types of commonly used virtual printers are excluded. A virtual printer is a type of software that simulates the functionalities of a printer and usually stores printed files in the computer in specific formats.

The printer audit feature is available only for Windows 7 and later versions, excluding Windows Server.

A maximum of 500 pages can be audited for a single printing activity. By default, 100 pages can be audited in a single printing activity.

Audit Result Verification

  1. Go to Status > Internet Activities to view the basic information of a printing activity in real time, such as the name of the printed file and the name of the printing application.

  1. View the details about the printer audit activity in Report Center. In addition, you can download the audit content to a local device or preview the audit content online.
